How to view the audit trail of registrations and completions across your organisation's activities.

Activity Log

The Activity Log provides a complete audit trail of participation across all your organisation's activities. It shows who completed what, when they did it, and any evidence they submitted. Use it to track engagement, verify completions, and generate records for reporting.

Accessing the Activity Log

Navigate to Activity Log in the sidebar under the Data section.

What the Log Shows

Each entry in the Activity Log represents a completed activity and includes:

  • Activity name — which activity was completed
  • Participant name — who completed it
  • Email — the participant's email address (if shared)
  • Phone — the participant's phone number (if shared)
  • Completion date and time — when the activity was finished
  • Age group — the participant's age range
  • Evidence — any attachments or proof submitted (if the activity required it)

Entries are grouped by completion date for easy browsing.

Filtering

Click the Filter button to narrow down the log. Available filters:

Sort Order

  • Newest first — most recent completions at the top (default)
  • Oldest first — earliest completions at the top

By Activity

Select a specific activity to see only its completions. This is useful for reporting on individual events or programmes.

By Age Range

Filter by participant age group to understand the demographics of your engagement.

By Date Range

Set a start and end date to view completions within a specific time period. Useful for monthly or quarterly reporting.

Tip: Your filter settings are saved automatically, so the log remembers your preferences the next time you visit.

Pagination

The Activity Log shows 10 entries per page. Use the pagination controls at the bottom to navigate through your records.

Viewing Evidence

If an activity required participants to submit evidence (such as photos, reflections, or survey responses), you can view it directly from the log:

  1. Find the completion entry
  2. Look for the evidence attachment indicator
  3. Click to view the submitted evidence

Using the Log for Reporting

The Activity Log is a valuable tool for:

  • Impact reporting — demonstrate participation numbers and demographics to funders and stakeholders
  • Compliance — maintain records of who participated in your activities and when
  • Verification — review evidence submitted by participants to confirm genuine participation
  • Trend analysis — track completion patterns over time to understand engagement

Tip: Use the date range filter to generate period-specific views. For example, filter by the last quarter to prepare a quarterly impact report.
